Personnel costs: payrollplanning per employee

Timeline: 2 months

700

employees covered by payroll
cost planning across the organization

100

departments for which
personnel costs are planned

50

in the annual budgeting and cost planning process

3

contract types supported
in the system (employment, civil-law, B2B)

01

Starting point

The company had no system for planning and controlling payroll costs per employee, which made it hard to oversee a key component of department costs and assign it correctly to projects.

02

Challenge

Data from the HR system and the B2B contract database had to be integrated, vacancies and additional staffing needs planned, and pay components calculated and linked to the P&L per cost center – all with the right data permissions.

03

Business need

The company needed a tool for planning personnel costs per cost center and employee, covering different types of engagement and automatically calculating ZUS social security and PPK pension contributions, to gain more control over a key cost component and streamline budgeting.

Proposed solution

Fincorex® enabled efficient planning and control of personnel costs across the organization, integrating employee data from HR systems and B2B contract databases. After the implementation, cost center heads could plan pay per person, taking into account different types of engagement, vacancies and additional staffing needs. Every change was automatically reflected in the P&L for the relevant department and the whole company, which significantly streamlined budgeting and improved data transparency.

The system automatically calculated ZUS social security costs for employment contracts and PPK pension contributions for employees enrolled in the program. Planning forms let users switch between a detailed view, for editing individual pay components, and a summary view of costs per employee. Users could also add new employees, remove existing ones and enter many employees at once with the MS Excel add-in, which sped up larger staffing changes.

Raises and other pay changes are highlighted in color on the planning form, making them easy for the Controlling team and the Management Board to spot.

Fincorex® made it easier to manage multiple budget versions, with the ability to store and compare different planning scenarios. Every pay update was immediately reflected in the central P&L, eliminating manual data merging. The system also enabled precise permission control – cost center heads could access only the data of their own team members, which improved information security, process transparency and efficiency across the company.

Results

  1. 01Central personnel cost planning

Fincorex® integrated data from the HR system and the B2B contract database, enabling payroll planning per cost center and per person in one application.

  2. 02Automatic calculation of pay components

The system calculated ZUS and PPK contributions based on contract type and employee attributes, eliminating manual errors and speeding up planning.

  3. 03Multiple budget scenarios

Users can create multiple versions of plans and forecasts, compare scenarios and analyze changes in personnel costs over the year.

  4. 04Real-time reporting

Every change made in the payroll form was immediately reflected in the central P&L for the cost center and the whole organization.

  5. 05Precise permissions and data security

Cost center heads could access only the data of their own employees, which improved information protection, process transparency and efficiency.
